# Email Notifications

## Overview

Fynapse provides a functionality which sends out notification emails to a recipient list when a selected triggering event occurs.

Such subscriptions for email notifications can be configured for:

* Approval Workflow events
* Ingestion events
* Extraction events

> Email notifications for ingestion and extraction events appear on the **Email Notifications** screen, where they can be enabled or disabled.
> However, they are created and can also be managed via [REST API](/api-reference/getting-started/custom-email-subscriptions).

## Approval Workflow Email Notifications

> To use this feature, you need to enable the **Email subscriptions** feature flag.

Fynapse sends out email notifications about new approval requests or status changes of a request to both the requestor
and the approver.

These notification sets are automatically enabled when you turn on the Approval Workflow functionality and
create a workflow for a given product area where Workflow Approval can be enabled:

* **Accounting Rules Navigator**
* **Finance Data Service** (uploading data files via the **Uploads** screen)
* **Adjustment Portal**
* **Chart of Accounts**
* **Data Structure Definition**
* **Period Locking**

### Email Notification Types

By default, Fynapse provides a set of 10 types of notifications for each product area:

| Approval pending - Requestor   | Requestor      | A new approval request was submitted.       |
| Approval pending - Approver    | Approver group | A new approval request was submitted.       |
| Approval approved - Requestor  | Requestor      | An approval request was approved.           |
| Approval approved - Approver   | Approver group | An approval request was approved.           |
| Approval rejected - Requestor  | Requestor      | An approval request was rejected.           |
| Approval rejected - Approver   | Approver group | An approval request was rejected.           |
| Approval cancelled - Requestor | Requestor      | An approval request was cancelled.          |
| Approval cancelled - Approver  | Approver group | An approval request was cancelled.          |
| Approval invalid  - Requestor  | Requestor      | An approval request was flagged as invalid. |
| Approval invalid - Approver    | Approver group | An approval request was flagged as invalid. |

These messages have a fixed content and are enabled for distribution once you enable the Approval Workflow feature flag
and create a workflow in a given area.

>
> It is not possible to edit the default messages.

## Email Notifications Screen

The **Email Notifications** screen allows you to browse the list of existing email notifications for workflow approval
and manage their distribution.

> Custom email notifications for ingestion and extraction events also appear on the **Email Notifications** screen.
> However, you can only view them in the grid and disable/enabled them. You cannot view the details, as the **View** action
> is unavailable for these types of notifications.

The screen comprises of a grid with the list existing email notifications, which is populated based on the approval workflow you configure
on the **Approval Workflows** screen:

* **Name and description** - name and description of the email notification which comprises of Approval workflows and product area
* **Event** - group of events triggering the email notification
* **Event filter** - allows you to filter events by product area
* **Status** - information if the email notification is active or inactive
* **Actions** - actions available for the email notifications:
  * **View** - redirects you to the **Details** screen
  * **Deactivate/Activate** - allows you to deactivate or activate a notification; all notifications are by default active

### Details Screen

The **Details** screen allows you to browse the details of an email notification.

The left-hand section comprises of:

* **Name** - name of the approval workflow
* **Description** - description of the approval workflow
* **Event** - - type of event triggering the email notification
* **Event filter** - allows you to filter events by product area
* **Recipients** - who receives the email notification, for approval workflows the recipients are Requestor and Approver

The right-hand section comprises of the list of email notifications for a given approval workflow. All approval
workflows by default receive 10 types of notification emails, 5 for the requestor and 5 fo the approver.

Each email notification has a toggle which allows to enable or disable it. You can also view a sample of the email notification
by clicking on the **View example email** link.

#### How to deactivate or activate all notifications?

1. Go to the **Email Notifications** screen.
2. Select the approval workflow for which you want to deactivate or activate all notifications and in the **Actions** column
   click on the **View** action.
3. Click the **Deactivate all/Activate all** button at the top of the screen.
4. Click **Save changes** to confirm your action or **Cancel** to discard your changes.
